MIS Basics
1. What is MIS? basic
A Management Information System collects, processes and presents business data as reports so managers can monitor performance and make decisions.
2. What does an MIS executive do? basic
An MIS executive prepares and sends regular reports, keeps data accurate, builds dashboards, maintains trackers and answers data requests from managers. Excel is the main tool.
3. What reports does an MIS executive prepare? basic
Daily, weekly and monthly reports such as sales, attendance, inventory, collections, productivity, expense and target-versus-achievement reports.
4. What are the types of MIS reports? basic
Periodic (scheduled) reports, exception reports (only items outside normal), ad-hoc reports (on request) and summary or detailed reports.
5. What is the difference between MIS and DSS? basic
MIS gives routine reports for operational and management control. A Decision Support System helps with complex, non-routine decisions using analysis and models.
6. What are the qualities of a good MIS report? basic
Accuracy, timeliness, relevance, clear format, consistency, and a summary that highlights what needs attention.
7. What is the difference between a report and a dashboard? basic
A report is a document of numbers for a period. A dashboard shows key numbers and charts visually, often with filters, for quick monitoring.
8. What is the difference between MIS and ERP? intermediate
MIS is about reporting information for management. ERP is software that runs business processes such as finance, HR and inventory in one system. ERP data often feeds MIS reports.
9. How do you decide what to include in a management report? intermediate
Ask what decisions the reader makes, include the few key metrics tied to those decisions, add comparisons with target and last period, and highlight exceptions.
10. What is a tracker and why is it used? basic
A tracker is a sheet that records tasks, orders or cases and their status over time. It helps teams see progress and find delays.
Excel for MIS
11. Which Excel functions are most important for MIS? basic
VLOOKUP/XLOOKUP, INDEX-MATCH, SUMIFS, COUNTIFS, IF, IFERROR, TEXT functions, date functions, and PivotTables.
12. How do you use VLOOKUP and what are its limits? basic
=VLOOKUP(value, table, column_number, FALSE) finds an exact match in the first column and returns from a column to the right. It cannot look left, and breaks if columns are inserted. XLOOKUP and INDEX-MATCH avoid these limits.
13. What is XLOOKUP? basic
XLOOKUP(lookup, lookup_array, return_array, if_not_found) searches any column and returns from any other column, defaulting to an exact match. It replaces VLOOKUP in modern Excel.
14. How do you use SUMIFS and COUNTIFS? basic
SUMIFS(sum_range, criteria_range1, criteria1, ...) adds values that meet all conditions, and COUNTIFS counts them. They are the core of MIS summaries.
15. What is a PivotTable and how is it used in MIS? basic
A PivotTable summarises large data by dragging fields into rows, columns and values. MIS executives use it to build sales, attendance and category summaries fast, and refresh it when data changes.
16. How do you refresh a PivotTable and what if the new data is not included? intermediate
Click Refresh. If new rows are missing, the source range is fixed; convert the source into an Excel Table or change the data source so it expands automatically.
17. What is a slicer? intermediate
A slicer is a button-style filter for PivotTables and Tables, giving a quick way to filter data in dashboards.
18. How do you remove duplicates in Excel? basic
Select the data, use Data > Remove Duplicates, and choose the columns that define a duplicate. Always keep a copy of the original first.
19. How do you use data validation in Excel? basic
Data > Data Validation lets you restrict entry to a list, number range or date. A drop-down list prevents typing errors.
20. What is conditional formatting? basic
It formats cells automatically based on rules, such as red for values below target, colour scales or data bars.
21. How do you reconcile two lists in Excel? intermediate
Use COUNTIF or XLOOKUP to check whether each item in list A exists in list B and vice versa, then filter the missing items. Compare totals too.
22. How do you compare two Excel sheets for differences? intermediate
Use a formula such as =IF(A2=Sheet2!A2,"","Diff"), conditional formatting with formulas, or lookup by key to compare values.
23. What is the difference between absolute and relative references? intermediate
A relative reference (A1) changes when copied. An absolute reference ($A$1) stays fixed. Mixed references ($A1 or A$1) lock only the column or row. F4 toggles them.
24. How do you protect a sheet or workbook? basic
Review > Protect Sheet to lock cells from editing, with optional password. Protect Workbook stops structure changes. Unlock input cells first.
25. How do you split text into columns? intermediate
Use Data > Text to Columns with a delimiter, Flash Fill, or functions like LEFT, MID, RIGHT and TEXTSPLIT in newer Excel.
26. How do you handle large Excel files that are slow? intermediate
Convert to the binary format, reduce volatile and whole-column formulas, replace formulas with values where possible, remove unused formatting, and use Power Query or PivotTables.
27. What is Power Query in Excel? intermediate
Power Query imports and cleans data from files and databases using recorded steps that run again on refresh. It is ideal for recurring reports.
28. How do you combine data from multiple sheets or files? intermediate
Use Power Query to append them, or a 3D formula or consolidation. Power Query is the most repeatable method.
29. What are the uses of INDEX and MATCH together? advanced
INDEX(return_range, MATCH(value, lookup_range, 0)) looks up in any direction, survives column changes and is faster than VLOOKUP on big data.
30. What is a macro and why would an MIS executive use one? intermediate
A macro records or runs VBA code to repeat steps automatically, such as formatting a report and saving it. It saves time on daily tasks.
31. What is VBA and what can you automate with it? advanced
VBA is Excel's programming language. You can automate formatting, copying data between files, creating reports, sending emails from Excel and building simple forms.
32. How do you create a dashboard in Excel? intermediate
Prepare clean data, build PivotTables or formulas for the key numbers, add charts and slicers, arrange them on one sheet, and use consistent colours and labels.
Reporting, Data Accuracy and Automation
33. How do you make sure your report is accurate before sending it? basic
Check totals against the source, compare with last period to spot odd changes, test a few records by hand, check formulas for errors, and have a second look at filters and date ranges.
34. How do you handle a mistake in a report that has already been sent? intermediate
Tell the manager quickly, correct the numbers, send an updated version with a note of what changed, find the cause and add a check so it does not happen again.
35. How do you handle urgent requests while doing regular reports? intermediate
Confirm the deadline and priority of each, deliver the critical item first, tell people about delays, and keep reusable templates to answer ad-hoc requests faster.
36. How can you automate a daily report? intermediate
Use Power Query for data loading, formulas or PivotTables that refresh, macros for formatting and sending, or Power BI and scheduled refresh for dashboards.
37. How do you keep data confidential? basic
Share data only with approved people, use password protection and permissions, avoid emailing sensitive files openly, and follow company policy.
38. What is data reconciliation? intermediate
Reconciliation compares data from two sources to confirm they agree, such as bank statements and ledger entries, and investigates differences.
39. What is an exception report? intermediate
An exception report lists only the items that fall outside normal limits, such as orders delayed beyond five days, so managers focus on problems.
40. How do you build a target versus achievement report? intermediate
List targets and actuals per person or region, calculate achievement percent as actual divided by target, add variance, use conditional formatting for status, and show a summary on top.
41. How do you calculate attendance percentage? intermediate
Present days divided by working days multiplied by 100. Use COUNTIF to count Present entries per employee.
42. How do you calculate variance and percent variance? intermediate
Variance is actual minus plan. Percent variance is variance divided by plan, multiplied by 100.
43. What is the difference between data and a database in MIS work? basic
Data is the raw records. A database is the organised system storing them, which can be queried with SQL for reporting.
44. Which SQL skills help an MIS executive? intermediate
Basic SELECT with WHERE, GROUP BY, JOINs and ORDER BY help pull data directly from databases instead of waiting for exports.
MIS Interview Scenario Questions
45. Tell me about a report you built that saved time or helped a decision. intermediate
Describe the problem, the report you built, the tools you used, how much time it saved or what decision it supported, and the result.
46. How would you prepare a monthly sales MIS? intermediate
Collect sales data, clean it, summarise by product, region and salesperson with a PivotTable or SUMIFS, compare with target and last month, add charts, highlight top and bottom performers and send with a short summary.
47. What would you do if the data you receive from a department is incomplete? intermediate
Check what is missing, ask the department for the missing items by a clear deadline, flag the gap in the report if it cannot be resolved, and set up a template to prevent it next time.
48. How do you handle large data with limited time? intermediate
Use Tables and PivotTables, filter out unnecessary columns, use Power Query for repeated steps, and automate where possible.
49. Why should we hire you as an MIS executive? intermediate
Link your skills to the job: strong Excel (lookups, SUMIFS, PivotTables), attention to accuracy, on-time delivery and a habit of checking numbers, with a short example.
50. How do you handle a manager who wants a report in a different format every time? intermediate
Ask what decisions they are making, propose a standard template that covers their needs, and make small changes quickly while explaining the benefit of consistency.
