Power Query for Beginners in Excel: Clean and Combine Data Without Formulas

By Rinkesh Shah · Business Analyst, 8 years in data · Updated 2026-11-03

Power Query is a tool built into Excel (Data tab, Get and Transform Data) that cleans data with clicks and remembers every step. Next month, you press Refresh and the same cleaning happens again.

What Power Query is good for

First steps

  1. Select your data and go to Data → From Table/Range. The Power Query editor opens.
  2. Use the Transform tab: change data types, trim spaces, split a column, remove duplicates.
  3. Each action is saved as a step in the Applied Steps list on the right. You can click any step to see the data at that point.
  4. Click Close and Load to send the result to a worksheet.
  5. Next time, right-click the table and choose Refresh.

Merge and append

Append stacks tables on top of each other, for example January and February sales. Merge joins tables by a common column, like adding the product name from a product list.

Frequently asked questions

It is built into modern Excel for Windows and Microsoft 365. Features can differ by version.

Is Power Query better than VLOOKUP?

For repeating monthly work and big tables, yes. For a quick one-time lookup, VLOOKUP or XLOOKUP is fine.

Do I need to code?

No. Most steps are clicks. The code behind it is called M, and you can learn it later.
